Privacy Policy

This Privacy Policy explains what information Circle 8 AI ("we," "us," "our") — a sole proprietorship operated by Corbyn Phillips in Illinois, USA — collects when you visit this website or purchase a report, how we use it, who we share it with, and the choices and rights you have. We're a solo-run small business: we collect the minimum we need to do the work, we don't sell your information, and we don't share it for cross-context behavioral advertising.

1. Information We Collect

We collect information you give us directly — for example when you email us, request a preview, or place an order:

  • Contact details: your name and email address.
  • Business details: your business name, website, location, and industry.
  • Order details: the package you chose and any information you share to help complete your audit (e.g., competitors, specific concerns). For Done For You orders, access credentials or delegated access you choose to grant us.
  • Payment information: handled entirely by PayPal, our third-party payment processor. We do not store your card number, bank details, or full payment credentials on our own systems — we typically see only a confirmation and the last four digits of the funding source, as provided by PayPal.
  • Automatically collected data: basic technical and usage data such as IP address, browser type, pages viewed, and referring page, collected by our web host and any analytics we use.

2. Sources of Information

We collect information directly from you, automatically from your device when you use the site, and from publicly available sources and AI/search platforms when we research your business as part of an audit.

3. How We Use Your Information

We use your information to:

  • Research and prepare your AI visibility report and roadmap;
  • Communicate with you about your order and provide support;
  • Process payment through PayPal;
  • Send transactional messages, and — only with your consent — occasional updates or offers you can opt out of at any time;
  • Maintain records for accounting, tax, and legal purposes;
  • Detect, prevent, and address fraud, abuse, and security issues;
  • Improve our services and this website.

As part of preparing your report, we may query publicly available information about your business through AI platforms (ChatGPT, Claude, Gemini, Perplexity, Google AI Overviews) and standard web search — the same way a customer would. We do not upload your private or confidential business data into third-party AI models beyond what is needed to run these public-facing checks.

4. Legal Bases (for visitors in the EU/UK)

Where the GDPR or UK GDPR applies, we process your information on these legal bases: to perform our contract with you (delivering your order), our legitimate interests (running and improving our business and preventing abuse), your consent (marketing messages and non-essential cookies), and to comply with legal obligations.

5. How We Share Information

We don't sell, rent, or trade your personal information, and we don't share it for cross-context behavioral advertising. We share it only with service providers who help us run the business, and only to the extent needed. These currently include:

  • Email: Google (Gmail) for communicating with you.
  • Payment processing: PayPal, under its own privacy and security terms.
  • Scheduling: our booking/calendar tool, if you book a call.
  • Hosting & delivery: our website host (Netlify) and domain/DNS providers.
  • Analytics: any privacy-respecting analytics we use to understand site usage.

We may also disclose information if required by law, to respond to lawful requests, to enforce our Terms, or to protect the rights, safety, and property of Circle 8 AI, our clients, or others. If the business is ever sold or reorganized, information may transfer as part of that transaction, subject to this Policy.

6. Data Security

We take reasonable administrative and technical measures to protect your information, including using reputable providers, encrypted (HTTPS) connections on this site, limiting access to what's needed, and not storing payment card data ourselves. For Done For You orders, we ask that account access be granted through your platform's own collaborator or delegated-access features, or a secure password-manager share, rather than emailed or messaged in plain text. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security, but we work to protect your information and to respond promptly if an issue arises.

7. Data Retention

We keep order and communication records only as long as reasonably necessary for the purposes described here — typically for the duration of our work plus the period required for business, tax, and legal reasons — and then delete or anonymize them. For Done For You orders, we remove or revoke any access credentials once the work is complete or when you ask us to. You can request earlier deletion — see Section 8.

8. Your Privacy Rights

Depending on where you live, you may have the right to: access the personal information we hold about you; correct inaccurate information; delete your information; obtain a copy in a portable format; opt out of marketing; and, where applicable, opt out of any "sale" or "sharing" of personal information (we do not sell or share it for advertising). California residents (CCPA/CPRA) and residents of other U.S. states with privacy laws, as well as EU/UK residents (GDPR), may exercise the rights available under their laws. To make a request, email Phil@circle8ai.com. We will not discriminate against you for exercising your rights, and we'll verify your request before acting on it. You may also have the right to lodge a complaint with your local data protection authority.

9. Cookies & Analytics

This website uses only the cookies and similar technologies needed to make the site work and, where enabled, basic analytics to understand how visitors use the site (such as which pages are viewed). We don't use this data to build advertising profiles or sell it. You can control or block cookies through your browser settings; blocking some cookies may affect how the site functions.

10. Do Not Track

Some browsers offer a "Do Not Track" signal. Because there is no common industry standard for how to respond, we do not currently respond to these signals, but we also do not track you across other websites for advertising.

11. International Visitors

We operate from the United States. If you access our site or services from outside the U.S., you understand your information will be processed in the U.S., where privacy laws may differ from those in your country. Where required, we rely on appropriate safeguards for such transfers.

12. Children's Privacy

Circle 8 AI's services are intended for business owners and are not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us and we will delete it.

13. Third-Party Links

Our site and materials may link to third-party websites and tools we don't control. Their privacy practices are governed by their own policies, and we're not responsible for them.

14. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last Updated" date above reflects the most recent revision. Material changes will be posted on this page, and your continued use of the site or our services after an update means you accept the revised Policy.
